Zimbra Calendar Migration Overview



What WILL be migrated to the Zimbra Calendar:

Meeting Entries

  • OCS normal calendar entries will become Zimbra public entries.
  • OCS confidential calendar entries will become Zimbra private entries.
  • OCS personal calendar entries will become Zimbra private entries.
  • The 'Details' field of calendar meeting entries will be migrated.

Recurring Meeting Entries

  • If there are exceptions to recurring agenda entries in OCS, the migrated entries will become individual entries and will no longer be a series.
  • An individual OCS instance of a recurring calendar entry that was cancelled prior to migration might reappear in Zimbra.

Daily Notes

  • Migrated OCS Notes ( The Notes icon in Oracle.) will appear in Zimbra in a solid shade as a banner at the top of the calendar schedule. When opened, they will be displayed as an “All Day Event” and will have the “Show as Busy option checked. This setting will not interfere with a user's availability.
    However, notes created in Zimbra after migration should be created with the “Show as Free” option set. Notes created after migration will be displayed at a 90% transparency.
  • The Details field of Daily Notes will be migrated.
  • If there are exceptions to recurring notes in OCS, the migrated notes in Zimbra will become individual notes and will no longer be a series.

Day Events

  • Migrated OCS Day Events ( The Day Events icon.) will appear in Zimbra in a solid shade as a banner at the top of the calendar schedule. When opened, they will be displayed as an “All Day Event” and will hav the “Show as Busy” option checked. This setting will not interfere with a user’s availability.
  • The Details field of Day Events will be migrated.
  • If there are exceptions to recurring Day Events in OCS, the migrated day events notes will become individual day events and will no longer be a series.

Access Rights

  • A user’s Oracle access rights will be migrated to Zimbra. These rights include:
    • Viewing rights
    • Scheduling rights
    • Designate rights
  • The table below displays the designate rights a user will inherit in Zimbra if they work as a designate in OCS.

    Full Viewing Rights
    • Viewing rights to Public and Private appointments
    Limited Designate Rights
    • Modify Normal entries only
    Manager Rights
    • View, Edit, Add, Remove, Accept and Decline Public appointments

Resource Calendars

  • Existing Oracle Calendar resources and calendars will be migrated. We will be renaming some of the Oracle Calendar resources with the migration to Zimbra:
    • Resources that begin with a “0” will have the leading “0” removed.
    • Telephone numbers in the resource name will be removed.
    • Capacity in the resource name will be removed.
    • Any special characters in the resource name will be removed. Example:
      • Oracle resource name: 01-409 x6-6000 Cap 20 Admin
      • Zimbra resource name: 1-409 Admin
    • Resource calendar rights will be granted to the owner of a resource in addition to everyone who had access rights to the calendar. Calendar access rights will be very similar to what was set in Oracle.

What will NOT be migrated to Zimbra Calendar:

  • Migrated OCS entries that are created as a designate for another user will no longer have the designate distinction in Zimbra.
  • The 'Personal Notes' field in Calendar Entries, Daily Notes and Day Events will be excluded from the migration.
  • Attachments associated with an Oracle Calendar Entry, Daily Note or Day Event will not be migrated.
  • Importance levels associated with an Oracle calendar entry will not be transferred.
  • Reminders will not be migrated.
  • Tasks
  • Calendar Groups will not be migrated.
  • Resource Calendar passwords
  • All Preferences
    • Entry Default preferences
    • Scheduling preferences
    • Offline preferences
    • Display and Color preferences
  • Calendar Data that is older than 400 days from the migration date.
